How to activate and use the waitlist feature?

Event or club administrators can enable registrants to join a waitlist and secure a spot when it becomes available again.


Activate the waitlist option

1. Search and select your club or event from your admin dashboard

2. Under the configuration tab, select waitlist

3. Activate the waitlist feature by switching it on

4. Add the categories the waitlist will be available for:


Configure your waitlist

1. Registrants are able to join the waitlist to be notified and register when a spot is available in two ways: 

- When the registration category's maximum capacity has been reached 

- When the online registration process has closed 

2. On the same page, you can review/edit the waitlist messaging content

- Join Waitlist On Screen Confirmation Message

After selecting the registration category they wish to join the waitlist for, registrants will see this information displayed in a pop-up window.

- Join Waitlist Confirmation Email Message

This is the content of the email that registrants who have joined the waitlist will receive to confirm they have enrolled.

- Invite From Waitlist Email

This is the email that people on the waitlist will receive when a spot becomes available and they are invited to register.




Invite people on your waitlist to register 

1. To review the individuals that have joined the waitlist and invite them to register, select the waitlist tab from your club/event dashboard: 

2. You can look up people on your waitlist 3 ways:

- By their name

- According to the registration category they have selected

- According to the status of their invitation

3. Once you have decided whom you would like to invite to register,  click on send invitation.

4. A pop-up window will appear with the pre-written invitation email. Ensure that you have entered a date/time which determines up until when their invitation will be valid as well as the email you want to send it from: 

Once sent, the invitation status for this person will switch to invite sent and can be canceled at any point if needed:

 

Please note

1. On your Registration Categories tab, make sure that your Reg. Process Max capacity is Higher than the number of participant of your combined total of the categories total. 

 

Each waitlist registration is considered in the Max Capacity, so you will need to account of that.

 

2. The waitlist will still be usable once the registration are closed.
