Managing duplicate registrations due to recurring billing (Event/Club)

If you use our recurring billing (split payment) feature, each payment creates a new registration for that member/participant. In this article, we will provide you with guidance on how to manage them effectively.

Event/Club registrations overview

Our new tools are designed to assist you in distinguishing between the total number of registrations (representing payments made) and the number of individual registrants (representing unique individuals signed up for your event/club).

Dashboard Home > Registration Activity

The new overview table shows the distinction between the total number of registrations (each representing a payment) and the number of individual registrants (representing unique participants or members signed up for your event/club).

Metrics > Registration Breakdown

By navigating to the metrics tab and selecting the registration breakdown sub-tab, you will now have access to two tables:

  • Registrant Breakdown: tracking the number of individual registrants within specific categories (without regard to the number of payments they have made)
  • Registration Breakdown: counting each registration that has been processed (one per payment)

When setting the 'max capacity' for a registration category, the system only includes unique registrants (registrations from recurring payments are excluded).

For instance, in the example below, you will notice that there are 16 and 12 unique registrants in those categories, contributing towards the maximum capacity. However, due to individuals making payments in 4 installments, the system has recorded 61 and 46 registrations (one registration per payment).

Registration details pages

Main Registration VS Recurring Registration

The main registration includes the initial registration and payment, capturing all additional information such as address, waivers, and additional forms.

On the other hand, recurring registrations solely focus on payment-related details like member/participant names and order specifics, with a convenient link provided to access the main registration for comprehensive information.

Reporting

The complete registrations reports include the following column: 

  • Registration Type: allowing you to easily identify "Initial Registration' vs 'Recurring Payment'
