How to address potential issues between Playerweb memberships and Tournament Software

When a membership goes into the status 'Issued' on Playerweb, the system will link this membership to an existing profile on Tournament Software that matches the same information that is present on the membership. If no such profile exists, a new Tournament Software profile will be created for this member.

If a new profile on Tournament Software is not created, or a membership needs to be linked to a different profile on Tournament Software, you can follow the below steps to rectify this.

 

Profile Not Created For New Individual on Tournament Software:

  • There is most likely a difference between personal information on the individual's Playerweb identity/profile, and the personal information on their membership. Check that first and last name, date of birth, and any other personal information match between their identity/profile and their membership itself.
  • Then, re-issue the membership. Change membership status to processing and save, then change membership status back to issued and save. Then check Tournament Software to ensure a new profile was created for this individual.

Updating The Link Between a Playerweb Membership and Existing Tournament Software Profile:

  • Check that personal information on the individual's Playerweb identity/profile, and the personal information on their membership match the information on the Tournament Software profile you wish to link their membership to. Be sure that there is no value in the 'Middle Name' field for the profile on Tournament Software. Name, date of birth, and any other personal information on Playerweb needs to match the information on Tournament Software exactly.
  • Ensure that the Member ID of the Tournament Software profile is the same as the Member ID on the membership on Playerweb:
  • Ensure that the Member ID of the Tournament Software profile is the same as the Member ID stored against the individual's Playerweb identity/profile, and that there are no duplicate Member ID values. This is available from the individual's Platerweb identity/profile, or from their membership itself:


  • Remove the existing link between the Playerweb membership and the Tournament Software profile by selecting 'Remove External System Link' on the individual's membership:
  • Then, re-issue the membership. Change membership status to processing and save, then change membership status back to issued and save. Then check Tournament Software to ensure that the Playerweb membership was correctly linked to the desired Tournament Software profile.
