Biathlon Canada Admin - How to manage your officials & safe sport requirements?

    Managing Requirement (per type)


    Memberships

    Membership registrations are tracked through the Zone4 API, and checked automatically:

    • During the initial registration
    • When updating the API requirement rolling over from one season to another
    • When a member access their requirements

    Please contact info@snowreg.com if a member encounters difficulties with membership verification.


    CAC-Locker Courses

    Completion dates are automatically pulled from the CAC-locker API. The Locker syncs every 24 hours (usually at night - PST time).

    If a member doesn't receive their records:

    1. Ensure their NCCP# on SnowReg is up to date. If not, update it and wait 24 hours.
    2. Contact info@snowreg.com if the error persists.

     CAC Understanding the Rule of Two eLearning Module

    Transcripts are submitted through that form

    Who can review a submitted transcript? Only the attendance recorders listed here

    How to add new admins as attendance recorders? 

    1. Lookup the admin's profile from the USER ACCOUNT PROFILES menu
    2. From the "Attributes & Records" section, scroll down to the Biathlon Canada - Administrators" section, and mark the admin as a Biathlon Canada Course Facilitator
    3. Then, from the "Biathlon Canada - CAC Understanding the Rule of Two eLearning Module" dashboard, under Configuration > Education Management here, click EDIT on the "CAC Understanding the Rule of Two eLearning Module" section:
    4. And from the 'Attendance Recorders' table, click 'ADD' and lookup the new admin name or email address:
    5. If you want that new admin to get notified each time someone submits a transcript for approval, go to the "Biathlon Canada - CAC Understanding the Rule of Two eLearning Module" dashboard, under Configuration > Email Notifications, and click "Add Email Notification", and fill our the following details before saving: 
    Trigger Type Purchase Notification
    Purchase Type Registration
    Recipient Email  Email of the new admin
    Email Subject  submitted a Safe Sport Training Rule of Two proof of completion

    Hi,

    You’ve received a new Safe Sport Training Rule of Two proof of completion Request - To access the request details visit
    • Please review the 'FORMS / SURVEYS' section to access the reference information submitted by 
    • Then, complete the Evaluation in the 'COURSE EVALUATIONS & ATTENDANCE TRACKING' section by entering the following information: 
      • Evaluator: select your name
      • Pass/Fail: select the option based on wether or not the information submitted meets your requirement

    Screening/Reference Applications

    Applications are submitted online via SnowReg - More details about how the member can submit their application are available HERE

    Once member has submitted their application, the designated staff person at BC gets notified by email.  To update who gets the:

    • Biathlon Canada Screening Application Form notifications, click here
    • Biathlon Canada Screening Disclosure or Screening Renewal Form notifications, click here.
    • Biathlon Canada Official Reference Form notifications, click here.
    • Biathlon Canada - Safe Sport Reference Form notifications, click here.

    How to validate an application

    • Reference Application:

      • Open the submitted application (aka registration details page) on the SnowReg dashboard.
      • Edit the relevant attributes & records > Biathlon Canada - References date.

    • Screening Disclosure/Renewal or Screening Requirements Application:
      • Open the submitted application (aka registration details page) on the SnowReg dashboard.
      • Click 'add evaluation' from the COURSE EVALUATIONS section.
     


    Experience Tracking

    Experience tracking is submitted online via SnowReg - More details about how the member can submit their application is available HERE

    Once member has submitted their application, the designated staff person at BC gets notified by email. To update who gets the:

    • Competitions Worked Form notifications, click here

    How to validate an application


    • Experience Tracking Application:
      • Open the submitted application (aka registration details page) on the SnowReg dashboard.
      • Click 'add evaluation' from the COURSE EVALUATIONS section.
     

    Epic/background check tracking

    For: 

    • Technical Delegates
    • Instructors
    • Safe Sport Level 2 and 3

     

    How to purchased a background check request through Sterling integrated with SnowReg? Please use/share the link below for Biathlon's member to request a new background check record through Sterling.

    Once submitted, and processed by Sterling, the results will automatically update in SnowReg;

    How to manage manually submitted checks?

    Once you’ve received a new E-PIC Background Check - To access the request details visit their submitted form

    • Please review the 'FORMS / SURVEYS' section to access the Vulnerable Sector Check submitted by the member
    • Then, access their official/safe sport certifications HERE
    • Open the level you'd like to review, and follow the instructions in that guide to create an approved background check record on the member's profile.
